Privacy Policy
Last updated: 28/10/26
We value your privacy as much as we do our own, so we take care with the personal and business information you share with us. We only ask for information we need, use it for the purposes explained in this policy, and share it where needed to provide our services or meet legal requirements.
This policy explains what information we collect, how we use it and the choices and rights you have.
Information we collect
When you contact Designwire, we collect the information you provide. This may include your name, email address, telephone number, business details and information about your enquiry or project.
If you become a client, we also keep the information needed to carry out the agreed work and manage our relationship with you. This may include correspondence, proposals, contracts, project documents, billing details and payment records.
Our website hosting and email-delivery providers also process technical information to run their services, keep them secure and investigate problems. This may include IP addresses, browser information, requested URLs, request times, error records and email-delivery status.
How we use your information
We use personal information to:
- Respond to enquiries, discuss projects and prepare proposals.
- Carry out agreed work, provide support and keep in touch about your project.
- Issue invoices, record payments and meet accounting and legal obligations.
- Run and protect the website, prevent spam and investigate technical problems.
- Understand how the website is used and how well it performs, so we can improve it.
Designwire does not currently send newsletters or marketing emails.
Our lawful bases
We need a lawful reason to use your personal information. The reasons that apply depend on how you interact with Designwire:
- Contract: when we need your information to carry out a contract with you, or to take steps you ask us to take before entering into one.
- Legitimate interests: when we respond to general business enquiries, communicate with people representing client organisations, manage business relationships, keep the website secure and reliable, or understand its use and performance. Our interests are running and improving the business and its website, while respecting your rights and reasonable expectations.
- Legal obligation: when we need to use or keep information to meet legal requirements, such as tax and accounting obligations.
Where information is stored and who receives it
We use the following services to help run Designwire and manage information:
- Google Workspace, including Gmail, Google Contacts, Google Sheets and Google Drive: email, contact records, proposals and project documents.
- FreeAgent: invoicing and accounting records.
- Cloudflare: website hosting, processing contact form requests and Cloudflare Web Analytics.
- Resend: delivering contact form enquiries by email.
Contact details may also be stored in the contacts app on business devices.
We share relevant financial information with our accountant for accounting and tax purposes. We may also need to share information to meet legal requirements.
International transfers
Some of the services we use, including Google Workspace, Cloudflare and Resend, process information outside the UK, including in the United States and European Economic Area. FreeAgent may also use providers that process information outside the UK.
These providers’ data-processing terms set out how information is protected when it is transferred overseas. Depending on the transfer, they rely on UK recognition that a country or organisation provides adequate protection, or contractual safeguards such as the European Commission’s standard contractual clauses with the UK Addendum.
Contact contact@designwire.co.uk if you’d like to know more about how your information is protected when it is processed overseas, or to request a copy of the relevant safeguards.
Website analytics
We use Cloudflare Web Analytics to understand how visitors use the website and monitor its performance. This helps us identify areas for improvement.
It provides statistics such as page views, referring websites, browser and device types, and page-loading performance. We do not send contact form entries to Cloudflare Web Analytics.
Cloudflare Web Analytics does not use cookies or local storage for analytics and does not fingerprint individual visitors. More information is available on Cloudflare’s Web Analytics page.
How long we keep information
We review enquiries that haven’t led to work annually and delete personal information we no longer need. We may keep relevant details if discussions are ongoing or there is a specific reason to expect further work.
We keep client correspondence and project records for as long as we need them to carry out work, provide support or manage the client relationship. After that relationship ends, we review these records annually and delete personal information we no longer need for outstanding matters, contractual obligations or legal requirements.
We keep invoices, payment records and other accounting information for the periods required by tax and accounting law.
Resend keeps email content and delivery logs for 30 days. Emails delivered to our Google Workspace inbox are kept according to the enquiry and client-record criteria above.
Cloudflare’s retention periods for technical and security information depend on the service and why the information is needed, including running its services, investigating security incidents and meeting legal obligations. Further details are available in Cloudflare’s privacy policy.
Keeping information secure
We protect business accounts with unique passwords and use two-factor authentication for email, contact records and accounting services.
Computers and mobile devices used to access personal information are protected by passwords, PINs or biometric authentication and lock automatically when left idle.
